Flight cancellations can transform a planned journey into a stressful situation, particularly when travellers are left stranded at an airport overnight. Passengers frequently face unexpected expenses for lodging, meals and transport. Under European law, you have certain rights designed to protect you from paying out of pocket when an airline cancels your flight.

Regulation EC 261/2004 requires airlines to provide assistance to stranded passengers. This obligation, known as the Right to Care, requires airlines to provide hotel accommodation when a cancellation forces you to stay overnight.

Understanding how cancelled flight hotel compensation works will help you enforce your rights at the airport or claim reimbursement after returning home.

Is my cancelled flight eligible for hotel compensation?

Under EC 261, the right to care entitles you to hotel accommodation when your replacement flight requires one or more overnight stays. Your right to hotel assistance applies to most European journeys, including:

  • All flights departing from an airport located within an EU member state.

  • All flights arriving at an EU airport when operated by an EU-licensed airline.

What if extraordinary circumstances caused the flight cancellation? While extraordinary events may exempt the carrier from paying cash compensation, your entitlement to duty of care assistance remains fully intact. If you are stuck overnight because of a cancellation, the airline must secure hotel lodging for you.

What does Right to Care provide?

EC 261 rules mandate that airlines provide these necessities free of charge to all affected passengers:

  • Hotel accommodation: for one or more nights if the expected departure of the replacement flight is at least the day after the originally scheduled time, or whenever a stay additional to the one you planned becomes necessary..

  • Transport: between the airport and the hotel.

  • Food and refreshments: meals and drinks usually delivered through airport vouchers or hotel meal plans.

  • Means of communication: access to two free phone calls or emails.

What should I do if my flight is cancelled and I need a hotel?

If your flight is suddenly cancelled, take these key steps immediately to protect your rights to care and reimbursement:

  1. Keep your documents: retain all physical or digital boarding passes, flight tickets, booking references and baggage tags.

  2. Airline desk: head to the airline help desk to request hotel accommodation vouchers and transport to the hotel.

  3. Request written explanation: ask carrier agents to provide a formal written statement explaining why the flight was disrupted.

  4. Save receipts: should you pay out of pocket, retain detailed receipts for overnight lodging, transport and necessary food or drink.

  5. Think twice before accepting travel vouchers: airlines can pay compensation in travel vouchers only with your signed agreement, so accepting them may mean giving up your right to cash compensation under EC 261. Hotel and meal vouchers don’t affect your compensation.

Can I claim both flight compensation AND a hotel refund?

Yes. A common misconception among passengers is that accepting a hotel room or meal voucher forfeits their right to financial compensation under EC 261.

Accommodation does not replace your right to cash compensation. If your flight cancellation was caused by factors within the airline’s operational control (such as crew shortages, technical faults or commercial rescheduling), you may be entitled to up to €600 per passenger in compensation under EC 261, in addition to reimbursement of necessary and reasonable hotel costs.

How much compensation can I claim?

Hotel accommodation and transfer costs are reimbursed based on what you actually spent, while flight compensation under EC 261 depends on the flight distance:

  • Short-distance flights (1,500 km or less): up to €250 per passenger under EC 261.

  • Medium-distance flights (over 1,500 km and up to 3,500 km): up to €400 per passenger under EC 261.

  • Long-distance flights within the EU (over 3,500 km): up to €400 per passenger under EC 261.

  • Long-distance flights to or from outside the EU (over 3,500 km): up to €600 per passenger under EC 261.
