Flight delays can disrupt your travel plans, cause missed connections and leave you stranded at the airport for hours. When an airline fails to stick to its schedule, passengers often suffer significant inconvenience. Fortunately, European law gives travellers the right to compensation when their journeys are severely disrupted.

Under Regulation (EC) No 261/2004, passengers whose flight arrives at its final destination 3 hours or more late may be entitled to compensation of up to €600, unless the delay was caused by extraordinary circumstances. You can claim it directly from the airline, using an EU flight delay compensation form or any other written channel, or through a specialised claims service like AirHelp, minus its success fee.

Understanding how the compensation form works, what details are required, and how to assert your rights under EC 261 will help you secure the payout you are legally owed.

What is an EU flight delay compensation form?

An EU flight delay compensation form is the document passengers use to claim compensation from an airline under EC 261 after a qualifying flight delay. Most airlines provide their own form, usually on their website.

Submitting the form formally notifies the airline of your claim and starts its review of your case.

Is my delayed flight eligible for compensation?

Not every flight delay qualifies for financial compensation. You can quickly check your eligibility using our Flight Delay Checker.

Before you fill in an EU flight delay compensation form, check that your flight meets the criteria for compensation under EC 261:

  • Arrival Delay: your flight must arrive at your final destination three hours or more later than originally scheduled.

  • EU Location Requirements: the regulation applies to all flights departing from an airport in the EU, Iceland, Norway or Switzerland, regardless of the airline. It also covers flights arriving at one of these airports from outside, if operated by an airline licensed in the EU, Iceland, Norway or Switzerland, unless you already received benefits or compensation and assistance in the country of departure.

  • Single Reservation: if your trip involves connecting flights booked under a single booking reference, a delay on the first leg that causes you to miss your connection and arrive three hours or more late at your final destination qualifies for compensation.

What if extraordinary circumstances caused the flight delay?

Events beyond an airline’s control, such as severe weather, air traffic control restrictions or political instability, may exempt the carrier from paying compensation, provided it could not have avoided the delay even if all reasonable measures had been taken. However, operational issues such as technical faults, staff shortages or scheduling errors are usually within the airline’s control, so in these cases you are generally still entitled to compensation.

What information do you need for the form?

To ensure your EU flight delay compensation form is processed smoothly without delays or rejections, you must provide accurate and complete information. Before starting your claim, gather the following essential details:

  1. Personal Information: full legal names and contact details for all passengers included in the claim.

  2. Flight information: your flight number, date of travel, departure airport, and final destination airport.

  3. Booking References: the 6-character booking reference code (PNR) found on your ticket or e-boarding pass.

  4. Actual Delay Duration: the scheduled and actual arrival times at your final destination.

  5. Supporting Documentation: digital copies or photos of boarding passes, e-tickets, delay notifications, and expense receipts.

Having these details prepared in advance reduces administrative friction and will help prevent airlines from rejecting your request on procedural grounds.

How much compensation are you entitled to under EC 261?

While expense refunds for food and hotels are calculated from actual receipts, statutory compensation amounts under EC 261 are fixed by flight distance:

  • Short-distance flights (up to 1,500 km): €250 per passenger.

  • Medium-distance flights (over 1,500 km and up to to 3,500 km, or intra-EU flights over 1,500 km): €400 per passenger.

  • Long-distance flights (flights over 3,500 km that aren't intra-EU flights): up to €600 per passenger.

Common obstacles when claiming independently

Filing an EU flight delay compensation form directly with an airline can often become a lengthy and challenging process. Airlines may use automated denial responses, complex legal jargon or delayed communication to discourage passengers from pursuing their compensation.

Airlines may also misclassify operational issues as extraordinary circumstances to avoid paying compensation. Without access to legal databases and flight data, individual passengers find it difficult to dispute these claims effectively.
